Why should hotel rooms be guaranteed?
A hotel room is not an item that can be stored until tomorrow. The room that is not sold tonight is lost tomorrow! Every day, guests who have announced an expected late arrival at the hotel arrive at the time of booking. Throughout the evening, the hotel saves / holds the rooms for these late guests. However, it often happens that the rooms are canceled late at night. At this time, the hotel usually does not have the opportunity to sell the room to another party. Therefore, it is important for the hotel to guarantee the payment of a room with late arrival.

Internationally, it has therefore become common practice to require a guarantee for rooms with arrival after kl. 18.00.

The customer is responsible to the hotel for covering various expenses, even if paid individually, as all costs that are not paid by the individual participants are automatically debited to the main bill.

Cancellation
All cancellations of more than 10% must be made in writing to billund@hotelsvanen.dk.

- 1-5 rooms are considered an individual booking and can be freely canceled up to 3 days before arrival (72 hours).
- 6 rooms and above are considered a group booking which up to 30 days before arrival can be freely canceled. After this, a maximum of 50% of the final booked hotel event can be canceled according to the debt rules.

For all events, events and conferences, it also applies that 100% can be canceled up to and including 30 days before.

The following applies to all group reservations, events, events and conferences:

  • After 30 days and up to and including 20 days before arrival, the agency can cancel up to 50% of the final booked hotel event free of charge.
  • After 20 days and up to and including 10 days before arrival, the agency can cancel up to 25% of the final booked hotel event free of charge.
  • After 10 days and up to and including 5 days before arrival, the agency can cancel up to 10% of the final booked hotel event free of charge.
  • After 5 days and up to and including 3 days before arrival, the agency can cancel up to 5% of the final booked hotel event free of charge.
  • Less than 3 days before arrival, 100% of the final booked hotel event will be charged.

In case of no-show, late arrival and early departure, the hotel is entitled to a compensation corresponding to the full price of the final booked events.

It in small print: Strike, lockout, fire damage or similar damage, restrictions on deliveries and similar unpredictable events such as pandemics that are beyond the hotel's control, entitle the hotel to terminate the agreement without damages of any kind. Reservations are usually made for government intervention against the hotel industry, as well as tax changes or the like, which entitle the hotel to corresponding price increases.
